Receptionist Cost vs AI Receptionist 2026: Hire, Virtual or AI

Published · prices checked October 26, 2026

Key takeaways

  • One full-time receptionist on the BLS median wage of $18.27 an hour (OEWS, May 2025) costs $4,399 a month once employer benefits and turnover are added.
  • At 13 three-minute calls a day, AI receptionists cost $129 to $695.30 a month and live virtual receptionists $990 to $3,970.50 (prices checked October 26, 2026).
  • One hire leaves the phone uncovered on 26 paid leave days a year (BLS NCS, March 2026); full cover of 40 hours a week takes 1.1 staff and costs $4,887 a month.
  • A hire costs the same at 3 calls a day as at 30. Ruby, billed by the minute, passes the cost of one hire between 420 and 430 three-minute calls a month, about 14 a day.
  • A receptionist also greets visitors and does office work. None of this arithmetic prices that.

On BLS wage data released May 15, 2026, one full-time receptionist on the median wage of $18.27 an hour costs $4,399 a month once employer benefits and turnover are added, at any call volume. At 13 three-minute calls a day, AI receptionists cost $129 to $695.30 a month (prices checked October 26, 2026).

Our arithmetic: each vendor's cheapest published plan for that volume plus its published overage, at 3-minute calls over 30 days. Goodcall bills per unique caller; we count every call as a new caller. The in-house row is one full-time receptionist: the BLS median wage for 2,080 paid hours (paid leave included), other employer benefits, and turnover. Taxes, setup fees and add-ons are not included. How we price.

At 13 calls a day, Goodcall costs the least of the AI receptionists, $129. At 3 calls a day Upfirst costs the least, $59.95. Every AI receptionist with a published price costs less than one hire at all three volumes, and so does every live virtual receptionist at 13 calls a day.

The in-house row does not move with volume. At 13 calls a day one hire on the May 2025 median wage works out to $11.28 a call; at 3 a day, $48.87 a call.

What an in-house receptionist costs, line by line

Every input below is a U.S. Bureau of Labor Statistics figure, from the release named in the same row.

LineAmountSource
Median hourly wage, receptionists and information clerks$18.27 an hourBLS OEWS, May 2025, released May 15, 2026
Median annual wage (2,080 hours)$38,010BLS OEWS, May 2025

Wage plus benefits, per paid hour$24.60Our arithmetic on the two rows above
Turnover, a year$1,611BLS JOLTS quits, calendar year 2025, times a published replacement cost

Total, a month$4,399Our arithmetic

Benefits are 31.3% of total pay for office and administrative support workers in private industry, per the BLS Employer Costs for Employee Compensation release for June 2026. They cover paid leave, insurance, retirement and the payroll taxes an employer owes by law. Paid leave is $0.11 of the $0.46 per wage dollar. The 2,080 paid hours already pay for it, so the table adds only the other $0.35. BLS does not publish a separate row for receptionists, so this is the closest group.

In the BLS OEWS release for May 2025, a receptionist at the 10th percentile earns $13.83 an hour and one at the 90th earns $24.01 an hour. State medians run from $14.98 an hour in Mississippi to $23.59 an hour in DC: see the receptionist wage in your state.

Coverage hours: what one receptionist leaves uncovered

One hire is paid for 2,080 hours a year but answers the phone for fewer. Private-industry workers average 8 paid holidays, 11 vacation days after a year and 7 sick days, per the BLS National Compensation Survey for March 2026. That is 26 days, leaving 1,872 hours a year on the phone.

To keep the phone covered 40 hours every week, leave included, takes 1.1 full-time staff and costs $4,887 a month on the May 2025 median wage. Covering nights and weekends, 168 hours a week, takes 4.7 staff and costs $20,526 a month. Every AI receptionist in the table answers around the clock at the price shown. The full arithmetic, including lunch breaks and after-hours cover, is on receptionist coverage hours.

Turnover: the cost of replacing a receptionist

In calendar year 2025, quits equaled 26.5% of private-industry jobs, our arithmetic on two BLS series (JOLTS quits and CES employment). A Center for American Progress review of published case studies found: "The typical cost of turnover for positions earning less than $30,000 annually is 16 percent of an employee's annual salary." (Boushey and Glynn, 2012, americanprogress.org PDF, read October 27, 2026)

The model multiplies the two: on the May 2025 median wage, turnover adds $1,611 a year. The inputs and why we used the lower bracket are on receptionist turnover cost.

When hiring is the better buy

A live virtual receptionist bills by the minute, so at high volume it passes the cost of a hire. At 13 calls a day Ruby costs $3,970.50, below one hire. Between 420 and 430 three-minute calls a month, about 14 a day, Ruby costs more than one full-time receptionist on the May 2025 median wage.

The arithmetic also leaves out what a person at the front desk does besides the phone: greeting visitors, taking payments, filing, scheduling. If the job is half phone and half office, the in-house row buys more than call answering.

An AI receptionist answers every call at once and never takes leave. It does not greet anyone, and what it can do on a call depends on what it connects to: see which AI receptionists write to Clio, HubSpot, Jobber and more.

Which option fits which situation

Best for a front desk with visitors: an in-house receptionist

One hire costs $4,399 a month on the May 2025 BLS median wage, and does work no phone service prices. It leaves 26 days a year uncovered, so pair it with an AI receptionist for overflow and after hours.

Best at 3 calls a day: Upfirst

At 3 calls a day Upfirst costs $59.95, the least of the AI receptionists in the table. It bills per call, so a busier month costs more: $227.45 at 13 a day. Below 3 calls a day Rosie costs less, $49 at 2 a day.

Best for 13 calls a day on AI: Goodcall

Goodcall costs $129 at 13 calls a day, the least in the table. It bills per unique caller, so repeat callers lower the real bill. Its catch: no trial, only a free demo agent without a phone number.

Best if you want a person on every call: Posh

At 13 calls a day Posh costs $2,223, the least of the live services in this table and less than Ruby at $3,970.50. It is still more than every AI receptionist in the table, and it bills by the minute, so long calls cost more.

Frequently Asked Questions

How much does it cost to hire a receptionist?

One full-time receptionist on the BLS median wage of $18.27 an hour (OEWS, May 2025) costs $52,782 a year, or $4,399 a month. That adds employer benefits other than paid leave, from the BLS compensation survey, and the cost of replacing a receptionist who quits. Wages vary by state.

Is an AI receptionist cheaper than a human receptionist?

At 3, 5 and 13 three-minute calls a day, every AI receptionist with a published price costs less than one full-time receptionist on the BLS median wage for May 2025. At 13 calls a day AI plans cost $129 to $695.30 a month, against $4,399 for the hire. A hire also does office work no AI plan prices.

How much does a receptionist make an hour?

The median hourly wage for receptionists and information clerks was $18.27 an hour in the BLS Occupational Employment and Wage Statistics for May 2025. The 10th percentile was $13.83 an hour and the 90th $24.01 an hour.

How much do benefits add to a receptionist's cost?

Employers in private industry pay $0.46 in benefits for every dollar of wages to office and administrative support workers, per the BLS compensation release for June 2026. Paid leave is $0.11 of that and is already in the 2,080 paid hours, so on the median wage the hourly cost is $24.60.

At 13 three-minute calls a day, live virtual receptionists cost $990 to $3,970.50 a month, less than one full-time hire at $4,399 on the May 2025 BLS median wage. They bill by the minute: Ruby, the dearest of them at 13 calls a day, passes the cost of a hire between 420 and 430 three-minute calls a month, about 14 a day.

How many receptionists do I need for 24/7 coverage?

Covering 168 hours a week, with paid leave backfilled, takes 4.7 full-time receptionists on our arithmetic, and costs $20,526 a month on the BLS median wage for May 2025.

How these numbers were made

Every vendor price on this page was read from the vendor's own pricing page on the date in its Source cell and saved as a dated capture. Monthly costs use each vendor's cheapest published plan for the volume plus its published overage, at 3-minute calls. The in-house figure uses the BLS median wage for receptionists over 2,080 paid hours (paid leave included), other employer benefit costs and turnover, each from the BLS release named below. Vendors that hide prices stay in the tables as quote only. We do not test answering quality and publish no ratings.
