Best Virtual Receptionist for Small Business 2026: 12 Services Priced

Published · prices checked October 26, 2026

Key takeaways

  • At 100 three-minute calls a month, the 12 virtual receptionists we priced cost $260 to $1,160 (prices checked October 26, 2026).
  • The biggest catch is time you did not talk: hold, ring time and after-call work are billable at several services. Ruby and Posh round every call up to a minute.
  • Picks: ReceptionHQ for a few calls a week, Go Answer for the lowest per-minute bill with transfers, Smith.ai for long calls, Abby Connect for mixing AI and live answering.
  • Ruby costs the most in the table at 50, 100 and 200 calls, and its own help center says it is not the least expensive option.
  • Every service is priced on its cheapest published plan for the volume plus published overage, at 3-minute calls.

We priced 12 live virtual receptionists from their own pricing pages on October 26, 2026: at 100 three-minute calls a month they cost $260 to $1,160. The order changes with your volume, your call length and the terms each service applies to a minute.

Our arithmetic: each vendor's cheapest published plan for that volume plus its published overage, at 3-minute calls. Taxes, pass-through fees, setup fees and add-ons are not included. How we price.

ReceptionHQ ReceptionistPlus costs the least in the table at 100 calls, and Ruby costs the most at 50, 100 and 200 calls. The gap at 100 calls is $900 a month.

How we picked

Every service in the table publishes a plan price, an allowance and a rate past it, so each can be priced at the same volumes. We then read each one's terms for the clauses that change a small business bill:

  • The unit: minute, call, or Abby Connect's blended minute, where AI time counts as half.
  • Rounding: whole minutes, 30 seconds, 6 seconds or 1 second per call.
  • Time beyond talk: hold, ring time, transfers and after-call work.
  • Spam: free, free on a condition, or billed.
  • Leaving: notice period, refunds, and who keeps the phone number.

Left out: services that publish no price (Answering Legal, Nexa), one that serves law firms only (Alert Communications), and ReceptionHQ's message-only plan, which transfers no calls. AnswerConnect, AnswerForce and LEX Reception share one company and a 90-day minimum term; they are priced on answeringprices.com. AI receptionists, which answer with software instead of people, have their own page: best AI receptionist for small business. At 13 three-minute calls a day they cost $129 to $695.30 a month.

Which virtual receptionist is best for which small business

Best for a few calls a week: ReceptionHQ ReceptionistPlus

At 20 calls a month it costs $53.95, the least in the table; PATLive, next, costs $121.90. It bills per call, so a long call costs the same as a short one.

  • Strength: 7 days, no card (the trial runs on ReceptionistPlus)
  • The catch: Transfers $0.30 per call; failed transfers $0.15; after-hours surcharge $0.30 per call outside 5am to 7pm Phoenix time on weekdays, all weekend and on federal holidays

It does not fit a business whose calls mostly end in a transfer, or one that takes most calls after 7pm Phoenix time.

Best per-minute bill with live transfers: Go Answer

Leave ReceptionHQ out and Go Answer costs the least in the table at 100 and 200 calls: $345 and $700. Its smallest plan is $175/month (100 minutes), which covers 33 three-minute calls, so a quieter month pays for minutes it does not use.

  • Rounding: 1 second
  • Billed beyond talk time: Summary and disconnection minutes; voicemail and IVR $0.15/min; hold and ring time not billed
  • Setup fee: Marketing says no setup fees; the terms say $50 or $75
  • Contract: "Cancel anytime", but the FAQ asks for 30 days written notice; no proration

It does not fit if you want one clear cancellation rule: Go Answer's marketing and its FAQ describe it differently.

Best for long or unpredictable calls: Smith.ai Virtual Receptionists

Smith.ai bills per call, so a 7-minute intake call costs the same as a 1-minute message. At 100 calls it costs $915, less than Ruby at that volume. Spam does not count "as long as the lines you forward to us pass Caller ID" (smith.ai/pricing/receptionists, read October 26, 2026). Length still has a limit: its reasonable-use policy caps the average length of extended intake, quoted in Smith.ai vs Ruby.

The catch is the add-ons. Booking, recording and text follow-up are each priced per call, and Smith.ai charges them on every call of the plan, not only the calls that use them. Its terms also ask 30 days' notice before the end of a cycle. It does not fit a business with short calls and many add-ons.

Best for splitting calls between AI and people: Abby Connect

Abby Connect counts an AI minute as half an Abby Minute, so routine calls handed to its AI stretch the plan. Priced all human, it costs $1,656 at 200 calls, less than Smith.ai's $1,965. At 300 calls Smith.ai costs less.

The catch: its 30-second rounding is applied to a total that includes ring time and transfer time. And "Any telephone number assigned to you by Abby Connect shall remain the property of Abby Connect." (Abby terms, read October 26, 2026) Port your own number in if you may leave. More on the two in Smith.ai vs Abby Connect.

Best for the lowest bill at 50 calls among pay-per-minute services: MAP Communications

MAP Communications costs $211.50 at 50 calls, less than PATLive's $293.50. Past its plans' allowances it bills $1.28 to $1.30 a minute.

  • The catch: After-call work with no cap, plus other work on your account
  • Spam: No exclusion; MAP says spam is "not something we have control over"

The rest of the table

Posh. Its trial needs no card, like MAP Communications' and ReceptionHQ's; Ruby and Smith.ai offer money-back guarantees instead. At 100 calls Posh costs $630, less than Smith.ai's $915.

  • Trial: 7 days or 250 minutes, no card

The catch is in its terms: calls are "rounded up to the next 60-second increment" (posh.com/terms, read October 7, 2026). A Posh blog post describes billing by the second, but the terms are the contract.

Ruby. Every plan carries the same features, and Ruby charges nothing extra for nights, weekends or Spanish. It costs the most in the table at 50, 100 and 200 calls: $1,160 at 100. Ruby's help center is candid about it: "We know we're not the least expensive receptionist service option out there" (Ruby help center, read October 7, 2026). The same article's cost advice is to watch your usage and un-forward your line near your limit.

PATLive. Billed in 6-second steps after the first minute, which charges less for a call that runs just past a minute than whole-minute rounding does. At 100 calls it costs $479.

  • The catch: No exemption for spam calls (spam chats are free)

Moneypenny. It answers around the clock at no extra charge, and costs $661 at 100 calls.

  • The catch: Wrap-up up to 180 seconds per call, transfer dial-out, every dispatch leg; queue time not billed
  • Setup fee: Non-refundable, amount not published; first and last month paid up front

Specialty Answering Service. Billed by the second, and at 100 calls it costs $384.20.

  • Trial: 14 days or 200 minutes
  • The catch: Three cancellation rules on the site and a fourth in the terms; no proration

Answering Service Care. At 200 calls it costs $774, a little less than MAP Communications' $777.

  • The catch: Robocalls billed unless you add the $12.95/month spam blocker
  • Setup fee: $50, plus an annual maintenance fee, amount not published

AnswerFirst. A base fee plus every minute, billed by the second. Its page gives the rate as a range, not published, so its cost is a range too: $510 to $615 at 100 calls.

  • The catch: Billed ("The answer is YES"); numbers cannot be blocked
  • Setup fee: Charged on every account, amount not published

What to check before you sign

Seven questions cover the clauses that moved bills in our reading of these 12 services. Ask each in writing, and keep the answer.

  1. What is the smallest unit you bill? A whole minute per call, 30 seconds, 6 seconds, or the call itself.
  2. Is ring time, hold time or after-call work on the meter? Abby Connect counts ring time; Ruby counts hold time; Ruby, Posh and MAP Communications count after-call work.
  3. Are spam and wrong numbers billed? Ask what the rule is when the call is answered, not only when it is blocked.
  4. Is there a setup fee in the terms, even if the pricing page says none? Go Answer's terms name one; Ruby's allow setup fees "as applicable" without an amount.
  5. Do nights, weekends and holidays cost more? Of the 12, only ReceptionHQ (after hours) and MAP Communications (holidays) publish a surcharge. Check who answers at 2am.
  6. When is Spanish guaranteed? Posh guarantees Spanish only on weekday hours; see bilingual virtual receptionist.
  7. How much notice to leave, and who keeps the number? Smith.ai and Abby Connect ask for 30 days; Abby keeps any number it assigned you.

One full-time receptionist on the BLS median wage costs $4,399 a month with benefits and turnover, 12.7 times Go Answer at 100 calls. A hire answers only while at the desk: hire vs AI receptionist.

Frequently Asked Questions

What is the best virtual receptionist for a small business?

At 100 three-minute calls a month, ReceptionHQ ReceptionistPlus costs the least, $260 on a per-call plan. Go Answer costs $345, the least of the services we priced that bill by the minute. For long calls, Smith.ai's per-call price does not rise with call length.

Which virtual receptionist services offer a free trial?

Posh offers 7 days or 250 minutes with no card, and Abby Connect 14 days or 500 minutes with a card, charged automatically at the end. PATLive, MAP Communications, Specialty Answering Service and ReceptionHQ also publish trials. Ruby and Smith.ai offer money-back guarantees instead of a live trial.

How much does a virtual receptionist cost for 50 calls a month?

At 50 three-minute calls a month, the 12 services we priced cost $135 to $620 (prices checked October 26, 2026). MAP Communications costs $211.50 and Posh $322.50. Taxes and add-ons are extra.

Is Ruby worth the price?

Ruby costs more than every other service in our table at 50, 100 and 200 three-minute calls: $1,160 at 100 calls. In return it includes every feature on every plan, charges nothing extra for nights or Spanish, and needs no notice to cancel. Its terms round every call up to a full minute and bill hold time.

Can I keep my phone number if I leave a virtual receptionist?

A number you port in stays yours at the services we read, and Ruby's terms let you port out with the account in good standing. A number the service assigned can be another matter: Abby Connect's terms say an assigned number remains its property. Port your existing number in, or confirm in writing that you can take an assigned one with you.

Do virtual receptionists charge setup fees?

Most of the services we priced do not. Abby Connect, PATLive, Posh, Ruby, Smith.ai Virtual Receptionists and Specialty Answering Service each say there is no setup fee (vendor terms, read October 5 to 26, 2026). Ruby's terms still allow setup or activation fees "as applicable". Go Answer's terms and Answering Service Care's pricing page name a setup fee, and AnswerFirst and Moneypenny charge one without publishing the amount.

How these numbers were made

Every vendor price on this page was read from the vendor's own pricing page on the date in its Source cell and saved as a dated capture. Monthly costs use each vendor's cheapest published plan for the volume plus its published overage, at 3-minute calls. The in-house figure uses the BLS median wage for receptionists over 2,080 paid hours (paid leave included), other employer benefit costs and turnover, each from the BLS release named below. Vendors that hide prices stay in the tables as quote only. We do not test answering quality and publish no ratings.
